Step 1
Carefully unpack your vinyl decal sheets and lay them out on a clean, flat surface. Print the final digital proof we’ve previously approved together—this will serve as your essential guide for positioning each name and heading accurately.
We recommend starting by arranging the decals directly on the mirror or glass surface (before peeling off the backing).
This allows you to visualise the full layout and spacing, ensuring everything is aligned and balanced before you begin the application process.
Taking the time to plan this step properly will help you achieve a clean, professional finish.
Step 2
Using a squeegee is essential—and good news, we include one with every order. The firm, flat rubber edge helps you press down firmly on the letters, ensuring they stick properly to the transfer tape and release cleanly onto the mirror or glass surface.
Applying even pressure with the squeegee makes a huge difference in achieving a smooth, bubble-free result.
In addition to the squeegee, we recommend having two more tools on hand: a weeding tweezer (or any fine-point tweezer) for lifting small details, and a lint-free glass cloth to keep your surface spotless before and during application.
Step 3
It’s important to press the vinyl sheets thoroughly to ensure a clean and easy transfer. Depending on your specific order, your design may arrive with multiple tables on one sheet or each table on its own individual sheet.
Start by flipping the vinyl sheet over and firmly pressing the back for around 30–40 seconds per table.
Then turn it over and press the front side—where the transfer tape is—for another 30–40 seconds.
Be sure to apply even pressure across all areas, including the edges and corners.
For larger or more intricate designs with 10+ tables, you may find it easier to temporarily position the vinyl sheets directly on the mirror before removing the backing.
Use small pieces of Sellotape to hold them in place while you press.
In this case, you can complete this pressing step directly on the mirror surface, helping to keep everything aligned and secure before moving on.
Step 4
Even with thorough pressing using the squeegee, it's normal for a few letters to cling to the sheet as you begin peeling.
If this happens, simply roll the transfer tape back slightly to cover the letter again, then press firmly until it adheres properly to the tape.
For best results, peel the transfer tape away slowly at a 45-degree angle from the vinyl sheet.
This angle helps the letters lift cleanly and evenly, ensuring a smooth and successful transfer.
Step 5
Occasionally, small bits of paper may stick to the adhesive side of the vinyl—this can happen if the cutting blade has gone slightly deeper than intended in certain areas.
While this is rare, it's easy to fix. Use a fine-point tweezer to gently remove any paper residue before applying the vinyl to your surface.
Taking a moment to do this will help ensure a clean, flawless finish.
Step 6
If you haven’t already taped the vinyl sheets in place to mark their exact position, now is the moment to carefully align and apply them.
Precision is key here, so take your time.
Hold the transfer tape firmly by the top corners and gently lower it onto the mirror, keeping your hand steady to ensure accurate placement.
Once it’s in the right spot, smooth it down lightly before moving on to secure it fully.
Step 7
This is one of the most important (and surprisingly calming) steps in the process.
Now that your transfer tape is in position on the mirror—well done!—it’s time to secure the vinyl lettering properly.
Using your squeegee, press firmly over the entire design, working through the transfer tape.
Don’t rush this part. Ideally, spend at least a minute pressing each section, paying close attention to every letter.
It's especially important to go over delicate characters like the lowercase "i", as the dot can sometimes be tricky.
The more thorough you are here, the cleaner and more professional your final result will be.
Step 8
If you've followed Step 7 thoroughly, this part should feel smooth and satisfying.
Gently peel the transfer tape away from the mirror at roughly a 45-degree angle.
The vinyl lettering should remain perfectly in place on the mirror.
If any letters lift with the tape—just like in Step 4—don’t worry.
Simply roll the tape back over the letter, press it down firmly with the squeegee, and try peeling again.
Take your time for the best results and a flawless finish.
Step 9
Every order includes a handy “Just in Case” sheet, containing spare vinyl letters and dots for the letter ‘i’—all in the same font and size as your original design.
In the unlikely event that a few letters don’t transfer properly onto the mirror, you can carefully lift the extras from this sheet using fine-point tweezers and place them manually where needed.
It’s a simple solution to ensure your seating plan looks perfect down to the last detail.
Step 10
To complete your table plan, use a dry, clean glass cloth to gently wipe down the mirror.
Don’t worry about going over the vinyl letters—they’re securely in place and won’t peel off.
This final polish will remove any fingerprints or smudges between the lines and names, leaving your mirror seating plan looking flawless and photo-ready.
